From “get a quote” to a scheduled customer, automatically

Right now, a lead fills out the form on your website, the submission lands in an inbox, and someone re-types it into your service software — hours or days later, if it doesn’t get lost. With the POM API, the form submission itself creates the customer record, and can create the quote or even the first appointment, the moment they hit Submit.

How the pattern works

Your website (or form tool) posts each submission to a small piece of middleware — a serverless function, your site’s backend, or a no-code HTTP step — which calls the POM GraphQL API:

  • Check for an existing customer with the autocomplete lookup query, so repeat inquiries don’t create duplicates.
  • Create the customer with createCustomer — name, address, phone, email, and notes straight from the form fields.
  • Create the quote with createQuote when the form asks for priced work — line items, tax, and notes included — or book the first visit with createAppointmentV2, which needs only the customer, a date, and a duration.

The key it uses is scoped to exactly those permissions (write on customers and quotes, nothing else), created by your admin in Settings → API Keys.

No-code platforms with an HTTP step (Zapier, Make) can stand in for custom middleware. POM’s API is standard GraphQL over HTTPS with a bearer key — if your tool speaks HTTP, it speaks POM.

A concrete example

A “Request spring opening” form collects name, address, phone, pool type, and preferred week. On submit: the middleware looks up the address, creates the customer if new, creates a quote with your opening service as the line item, and drops a note with the preferred week. Your office opens POM to a quote that’s ready to send — not an email to transcribe.

What a POM customer built

One pool company on POM put a booking form on its website and connected it to POM through the API. When a homeowner fills it out, the appointment is created in POM, and nobody in the office retypes it.

The honest details

You’ll need somewhere to run the middleware (a serverless function is typical — a few dozen lines of code) since API keys must never live in the browser. The API is rate-limited per organization, which ordinary form volume won’t approach. There are no webhooks today, but this pattern doesn’t need them — the form pushes to you.

Web form questions

Can my website form create a customer in POM automatically?

Yes — the createCustomer mutation takes the form’s fields directly, and the lookup query prevents duplicates. A small middleware function between your form and the API keeps your key secret.

Can a form submission create a quote or book an appointment?

Both. createQuote builds a quote with line items and tax; createAppointmentV2 books a visit with just a customer, date, and duration.

Do I need a developer?

For a custom form, a developer sets this up quickly — it’s a small serverless function. No-code HTTP steps in tools like Zapier or Make can also call the API. Either way, we’re happy to point yours at the docs: help@poolofficemanager.com.

Is this included in my subscription?
